Job Summary:
Reporting to the USF Sacramento Campus Director, the Office Manager provides a full range of general support, clerical, and secretarial functions at varying levels of complexity for the Campus Director, staff, faculty and students. This role is responsible for a broad range of administrative duties, including, but not limited to, collaborating with student staff, faculty orientation for Sacramento Campus faculty, cleaning, database management, facilities management, event coordination, and customer service for current and prospective students, faculty, staff, and alumni. This individual will also assist with admission and enrollment services for students and their families and assist the Campus Assistant Director and Director in a support capacity.

Duties:
Manages maintenance, set up, and cleaning of all campus spaces, equipment, and supplies — these duties include cleaning whiteboards, chairs, tables, and podiums; stocking rooms with supplies; making sure fans and lights are working properly; etc.
Provides general program and campus information to prospective students and visitors.
Manages campus phone, email and in-person inquiries as appropriate.
First line of contact between students and faculty for appropriate departments for assistance that campus staff cannot provide.
Collaborates with student staff for day to day tasks for facilities duties.
Completes new faculty on-boarding, including but not limited to: scheduling appointments with new faculty to provide site orientation and completing I-9 documentation. Serves as primary liaison for Hilltop Human Resources.
Monitors classroom availability and schedule changes (program/course/day/classroom).
Maintains inventory and purchasing of marketing, classroom, and office supplies.
Prepares and processes supply orders for campus.
Serves as a point of contact for Building Security and Maintenance Teams.
Assists with coordination of repairs and maintenance work with external Building Management.
Collaborates with IT staff to troubleshoot basic technology issues, and provides equipment reservations. Acts as IT support when IT staff are not on site.
Works with contracted IT staff to stay up to date on training for campus technology protocols.
Collaborates with Campus Assistant Director in the creation of marketing materials for on campus events using design tools such as Canva, PowerPoint and Adobe Acrobat.
Printing and posting class schedules, and creating monthly schedules for building management and parking garage partners.
Monitors and posts items to campus bulletin boards with events.
Participates as a team member in terms of meeting the enrollment goals.
Provide support for Assistant Director in transcript evaluations and GPA calculations.
Manages request form and schedules faculty office use.
Assists with campus orientations, information meetings and all other events.
Helps to create, plan, and execute events on and off campus.
Orders catering, sets up events, cleans up, etc.
Use of a database to track attendance for virtual and in-person recruiting events.
Assists campus director with student and faculty lists.
Assigns and monitors access for students, staff, and faculty.
Creates and updates in-house/other forms as needed.
Actively participates in regularly scheduled team meetings.
Contributes to social media and marketing campaigns.
Other duties as assigned.
Position Qualifications:
Bachelor’s degree required.
At least two years of administrative office experience, preferably in an academic environment.
Excellent organizational, interpersonal, and oral/written communication skills.
Proficiency in Google Suite, particularly Google docs, Google forms, Google sheets, Google calendar, etc.
Exceptional customer service experience required.
Demonstrated ability to work with a diverse student body, faculty and staff with a strong equity lens, cultural humility and proven ability to work well in a diverse context.
Ability to work with confidential information and knowledge of FERPA.
Proficiency in Microsoft Office Suite, particularly to create, revise, and manipulate documents in Word, Excel, and PowerPoint.
Willingness and knowledge to troubleshoot minor technology issues.
Ability to work independently, establish priorities, and meet deadlines.
Proven ability to work effectively as a team member and with a diverse community.
Ability to work some evenings and weekends.
Some marketing and sales experience helpful.
Ability to lift 30+ pounds, be able to sit and/or stand for long periods of time, bend, and clean, and move furniture around.
