Job Summary:

The Operations Manager provides support for Regis College, the Dean and Associate Deans, over 30 academic departments and programs. Works collaboratively with other staff members across the college and university. The individual must have exceptional organizational, analytical, and communication skills. Interacts with a diverse group of people including the wider university, faculty, staff, students, parents and the public. The position is directly responsible for managing key Dean’s Office operations including: course and classroom scheduling processes, academic advising & registration coordination, graduation audit processing, and summer session administration. The position also assists with other administrative duties.

Major Duties and Responsibilities:




Classroom Management (20-30%)


• Manages event and meeting room requests on a daily basis using 25Live (College Net classroom scheduling software). Negotiates compromises with faculty and staff in accordance with college and university priorities. Coordinates with Anderson, RHCHP, the Provost’s Office, and Auxiliary Services’ schedulers.


• Manages classroom assignments for Regis College and Anderson academic courses (730+ courses each semester). Schedules pre-assigned classrooms/labs manually in Colleague.


• Coordinates with the Systems Specialist in Auxiliary Services, runs S25 (an automated system to assign classrooms), and, given critical space shortages, manages conflicts when they arise in these assignments.


• Works collaboratively with over 150 faculty and staff to optimize teaching environments and classroom needs.


• Generates Course Schedule Tally report in Informer (business analytics software) as needed to ensure accurate classroom assignments, and to maximize classroom availability per each class timeslot.


• Manages final exam scheduling each semester for 500+ courses in Colleague.


Manages RC Master Course Schedule (20-30%)


• Works collaboratively with 30+ Department Chairs and Program Directors to compile course offerings each semester. Manages the allocation of teaching times to ensure full use of scarce facilities.


• Analyzes 730+ courses (reviews, edits, and collates Course Titles, Course Descriptions, Pre-Requisites, Co-Requisites, Cross Listings, Co-Listings, and Notes) each semester using Colleague.


• Manages course proposal forms, coordinating with over 30 department and program chairs to submit the appropriate course proposal forms online. Proofreads the forms, corrects errors, and coordinates with the Associate Dean for approval, using Perceptive Content (ImageNow).


• Submits completed schedule of courses to the Office of Academic Records and Registration within assigned time frames.


• Manages section specific notes in Colleague/WebAdvisor/Ranger Portal.


Academic Advising/Registration (10-20%)


• Coordinates Regis College advising and registration process with Admissions. Schedules academic advising/registration appointments for 300+ deposited incoming students. Using Email mail-merge, notifies the students and answer questions.


• Runs on-campus academic advising/registration sessions.


• Registers students and handles drop/add in Colleague as requested by Advisors.


• Provides technical assistance to, and serves as a resource in support of, the faculty advisors with Colleague (RCC 200 sections), Perceptive Content (transcripts), Webcape (test scores), WebAdvisor/Ranger Portal (available courses), and SharePoint (advising documents).


• Enters all 480+ incoming students’ academic advisors in Colleague manually.


Regis College Summer Session Coordination (10-20%)


• Manages planning and execution of Regis College summer courses.


• Coordinates with over 30 departments and programs on summer course offerings. Negotiates with chairs on offering times and faculty assignments. Manages submission of course offering forms and update the webpage for summer session.


• Point person with MarCom and Admissions to get summer marketing material out both in print and through Social Media.


• Works with Academic Records and Registration to get the courses accurately listed in the system. Assign summer course classrooms in Colleague.


• Monitors and analyze enrollments (current and longitudinally). Collaborate with the Dean for Operations on strategy for course offerings.


• Processes contracts.


• Provides key support to faculty and facilitate timely book orders.


Academic Graduation Evaluator (10-20%)


• Researches and evaluates the academic records of Regis College seniors and monitors each student to the completion of all graduation requirements for each individual major.


• Performs a wide variety of specialized clerical duties related to graduating seniors including maintaining accurate and current records.


• Reports and explains transcript evaluations, requirements, deficiencies and procedures to students, faculty and administration.


• Analyzes potential deficiencies and advises dean and associate deans on possible substitutions or waivers.


• Prepares reports and correspondence relating to student graduation evaluations.


• Utilizes Colleague and Perceptive Content for electronic transcripts and graduation documents.


Major Declaration and Change of Advisor (5-10%)


• Processes the Major Declaration and the Change of Advisor forms for Regis College students. Modifies advisor’s data in Colleague. Coordinates changes with Academic Records and Registration. Manages work study students who assist with these processes.


• Tracks undeclared sophomores and juniors using Informer Reporting software; conducts student outreach in order to prompt major declarations and ensure academic success.


Other Administrative Duties (5-10%)


• Supports Regis College faculty members and administrative staff with Colleague, WebAdvisor, 25Live, Informer, Perceptive Content, SharePoint, MS Word, MS Excel, and Outlook (running reports, finding records, filling out forms, scheduling appointments etc.) as needed.


• Manages technical support for faculty and staff, monitoring classroom technology, interfacing with ITS on critical support needs, and assisting where possible to resolve issues in a timely fashion.


• Supports the Office with other necessary administrative duties.


• Advises student clubs and activities, as appropriate.


Working Conditions: (Physical environment)


Normal office conditions. Working in common space with other administrative staff. or


Pay Rate:

$24.03 – $26.92 / hour commensurate with qualifications.
