Job Description:

The Registrar Specialist for Academic Scheduling reports to the Registrar and is charged with coordinating and managing the College’s academic calendars, courses, course schedules, final exam schedules, and college catalog. In addition, this role provides general support to the Registrar’s Office assisting in all day to day operations.

Job duties specific to this position: 

  • Contribute to the daily operations of the Registrar’s Office
  • Interprets and enforces academic rules and regulations as appropriate
  • Provide excellent customer service to the constituents of the Registrar’s Office (i.e. students, parents, faculty, staff, external agencies, etc.) by answering a wide-range of questions via the telephone, email, and additional modes of communication
  • Utilize the College’s Student Information System, data software tools, and Excel to create reports and charts to support data analysis for the Registrar and related constituents
  • Routinely reviews data entry and student records information to ensure data integrity
    Manages the creation, maintenance, and communication of the academic course schedule, final exam schedules, and academic calendars via the College’s student information system and scheduling software
  • Responsible for maintaining current knowledge of all federal, state, and institutional policies related to academic schedules and calendars
  • Manages the communications related to changes made to the academic schedule with appropriate constituencies as needed, including course cancellations that require changes to schedules
    Oversees all academic classroom requests and changes for the College and effectively communicates changes made to the appropriate constituencies 
  • Produce and analyze data related to classrooms, scheduling, and enrollment information upon request to aid in the creation of the course schedule, classroom utilization, academic calendars, and curriculum development
  • Manage the creation of and changes made to courses through the College’s Curriculum Committee process
  • Assist the Registrar’s Office in the management and processing of curriculum related documentation and information
  • Assist the Provost’s Office with the maintenance of the College Catalog to ensure accuracy in courses, curriculums, institution policies, etc. 
    Assist in the management and ordering of office supplies for the Registrar’s Office and classroom supplies for faculty
  • Assist with the maintenance of all student education records as needed, including the review and adjustment of graduation audits (Senior Audits) to ensure students are prepared for degree and certificate conferral
  • Assists with commencement preparation and attends ceremonies
  • Assist the Registrar and Associate/Assistant
  • Registrars with administrative tasks
  • Support and assistance with cross-training on all Registrar Office operations
  • Serve on College committees as requested
  • Performs other related duties as assigned

Requirements:

  • Bachelor’s degree or equivalent combination of education, experience, and training (preferably in higher education)
  • Professional demeanor and ability to interact well with others in a fast-paced operation
  • Strong interpersonal communication skills in both written and oral communications.
  • Demonstrated time management and organization skills with the ability to take initiative.
  • Advanced word-processing skills and database experience, including Microsoft Office. Proficient in Excel.
  • Strong analytical skills, with the ability to pull, compile, and present data in a meaningful way.
    Attention to detail is essential.
  • Respect for confidential information; working knowledge of FERPA is preferred.
  • Experience with Colleague Datatel, Unity OnBase, Parchment: Digital credential service, and a higher education setting preferred.
